Signs your business has outgrown
QuickBooks.
QuickBooks is a competent accounting tool. The problem is most growing Canadian businesses need more than accounting — and the workarounds compound until the cost of staying is higher than the cost of moving.
QuickBooks is an accounting tool. Job costing in QuickBooks means spreadsheets and workarounds. In Odoo, job costing is built in — labour, materials, POs, and subcontractor bills all post to the job automatically.
QuickBooks inventory is designed for simple product lists. If you have multi-location inventory, lot tracking, assembly BOM, or complex receiving workflows, you have already hit the ceiling. Odoo's inventory module handles all of this natively.
A typical QuickBooks stack at a growing SMB includes: QuickBooks + a CRM + a project tool + a field service app + a payroll provider + a reporting tool. Each connection is a maintenance point and a data integrity risk. Odoo replaces most of the stack.
QuickBooks Enterprise with Advanced Reporting runs over $2,000 CAD per year for a small team. Add Payments, Payroll, and any third-party integrations and the stack cost is significant. Odoo Enterprise at $55/user/month is often comparable or better at 10+ users — with far more capability.
QBO throttles API calls and has per-user pricing that scales poorly. When your Shopify integration starts hitting API limits or your accountant can't get clean export data, you're working around the tool rather than with it.
What migrates from QuickBooks
to Odoo — and what does not.
Knowing what carries over before you commit is not optional — it determines your go-live plan, your team's workload, and your confidence on day one. Here is exactly what we migrate.
| Data type | Migrates | Notes |
|---|---|---|
| Chart of accounts | Mapped and restructured for Odoo account types | |
| Customers | Name, address, payment terms, currency, contact details | |
| Vendors / Suppliers | Name, address, payment terms, banking info | |
| Products & Services list | Description, pricing, cost, tax category, inventory type | |
| Open AR (unpaid invoices) | All open customer invoices as of go-live date | |
| Open AP (unpaid bills) | All open vendor bills as of go-live date | |
| Bank / credit card balances | Opening balances set at go-live cutover | |
| Inventory quantities on hand | Physical count confirmed at go-live, entered as opening stock | |
| Historical transactions (configurable) | Last 1–3 years of invoices, bills, payments — scope by agreement | |
| Tax configuration (GST/HST/PST) | Recreated natively in Odoo for your province | |
| Recurring transaction templates | Recreated manually in Odoo — usually 1–2 hours of setup | |
| Attachments on historical transactions | Stored separately; accessible but not linked to Odoo records | |
| QuickBooks custom report templates | Rebuilt in Odoo reporting — often improved in the process | |
| Payroll history | Payroll setup recreated; historical payroll stays in QB or payroll provider | |
| QuickBooks Time / TSheets integrations | Replaced by Odoo timesheets or re-integrated via API |
Migration scope confirmed in writing before project start. No scope surprises.
Canadian tax and compliance
configuration — done right.
A generic Odoo install is not configured for Canada. We build Canadian tax handling, CRA-compliant invoicing, and the right fiscal year setup into every migration.
Odoo does not ship pre-configured for Canadian taxes. We configure every applicable tax code for your province — GST only (Alberta), HST (Ontario, Maritime provinces), combined GST+PST (BC, Saskatchewan, Manitoba), QST (Quebec). Filing reports are set up before go-live.
Many Canadian businesses have non-January fiscal years. Odoo supports any fiscal year start. We set this up correctly so your financial reports, budget comparisons, and CRA filings align with your actual fiscal calendar.
Canada Revenue Agency has specific requirements for GST/HST invoices: business number on invoice, tax amounts shown separately, invoice date, etc. We configure Odoo invoice templates to meet CRA requirements before you send your first invoice.
If you are using QuickBooks Payroll, we discuss whether Odoo payroll covers your requirements or whether a Canadian payroll provider integration is the better path. We do not guess — we walk through your payroll setup before making a recommendation.
Odoo supports multi-currency natively. We configure CAD as your functional currency and set up any additional currencies (USD is common for Alberta businesses with US clients or suppliers) with proper exchange rate handling.
Our QuickBooks-to-Odoo
migration process.
Migration fails when it is treated as a data dump rather than a transition project. We run a structured process — scoped, validated, and signed off at each stage.
We export a data sample from your QuickBooks — chart of accounts, customer/vendor list, open AR/AP, inventory. We review it for quality, identify any cleanup required before migration, and produce a written scope document: what migrates, what does not, what the timeline looks like, and the fixed price. You sign off before we proceed.
We build your Odoo environment — chart of accounts, Canadian tax configuration, modules, workflows, and user roles — while you continue operating in QuickBooks. We configure everything and test it against a copy of your real data before we touch the production environment.
We import your customers, vendors, products, and open balances into Odoo. Your team validates: do the customer records look right, does the inventory match your physical count, do the open invoices reconcile to what QuickBooks shows. We iterate until the numbers match.
We train your team on Odoo before the cutover — not after they are already using it under pressure. We train against your actual data and your actual workflows. No generic demo data. No "you will figure it out" onboarding.
We pick a clean go-live date — typically a month-end or fiscal year boundary. We post opening balances, close the QuickBooks period, and you start the new period in Odoo. We are available during the first week of live operation to resolve anything that comes up.
How long does a QuickBooks
to Odoo migration take?
Timeline depends on data complexity, scope, and how available your team is during the build phase. Here are realistic ranges.
Go-live is aligned to your fiscal calendar — typically a month-end or fiscal year boundary so your opening balances in Odoo match your closing balances in QuickBooks exactly.
What does a QuickBooks
to Odoo migration cost?
All-in cost includes the implementation (fixed-price), Odoo Enterprise licensing, and first-year support.
